Type of data collected and purpose of processing 

Participants’ data are processed for the organisation, coordination and execution of international central bank dialogue events in Germany and abroad. Name, form of address, title, date of birth where appropriate, email addresses, telephone number, name of the institution, country and nominating party are used to carry out correspondence and e-learning. CV information is used to select participants to ensure a suitable group composition. In this context, prospective participants are asked to provide information on qualifications, professional experience, employment in their institution and current department, English-language skills, previous experience and expectations where these are of relevance to the respective course and are also asked to state whether they are willing to deliver a presentation. In addition, participants are asked whether they have previously attended a similar event. Information on dietary requirements is requested for advance planning purposes. At the time of registration, participants are asked whether they agree or object to the publication of photographs taken during the event for public relations purposes, including publication on the Bundesbank’s website. 

In some instances, the data are passed on to other parties:

Hotel and health insurance: name and length of stay to organise the stay and ensure health insurance coverage;

Visa office: name, sending institution, dates of the event to allow a visa to be issued;

Participants: programme with participants’ names and email addresses, sending institution, participants’ and speakers’ job titles for networking purposes; 

Federal police and security service: name, date of birth and length of stay for entry control.

Legal basis for data collection

Article 6(1)(a) of the General Data Protection Regulation (GDPR) (consent), Article 6(1)(e) of the GDPR (performance of a task carried out in the public interest) and Article 3 of the Federal Data Protection Act (Bundesdatenschutzgesetz) (processing by public authority).

Duration of data retention

The personal data will be deleted once the purpose for which they were processed has been fulfilled. Dietary requirements, CV information and the nominating party will be deleted one week after the event. After five years, the name, email address, telephone number, date of birth and consent to the storage of the data will be deleted.

Rights of data subjects

Data subjects have the right of access (Article 15 of the GDPR), the right to rectification (Article 16 of the GDPR), the right to erasure (Article 17 of the GDPR), the right to restriction of processing (Article 18 of the GDPR), the right to data portability (Article 20 of the GDPR) and the right to object to processing (Article 21 of the GDPR).
